Job Description

Job Title: Administrative Assistant 

Reports to: Executive Director and Out On The Lakeshore Board

Description: Out On The Lakeshore (OOTL) has an opening for a part-time (12-16 hours per week) administrative assistant to help manage our Community Center operations. 

Responsibilities include program and event support, database management, and general office support. Full job description and qualifications below 

Schedule: This is a 12-16 hours per week position. Tuesday and Thursday afternoons required in-person, with some flexibility in scheduling outside of these times for evening programs that may also require in-person support.

Compensation: Starting wage is $15 per hour, negotiable based on experience.

Purpose: To support Community Center operations of a small non-profit organization. 

Status: Hourly 1099 Contract position, 12-16 hours per week. 


Essential Functions

  1. Administrative Support

This position is responsible for providing general administrative support as needed, including but not limited to:  

  • Perform basic bookkeeping tasks including bill paying, check cutting, mailing checks, making deposits, invoicing, etc.  
  • Purchase office supplies and keep storage room stocked and organized  
  • Prepare for Board of Directors meetings by printing agendas, minutes, and other documents  
  • Maintain organizational files and documents 
  • Serve as first point of contact for the organization  
  • Manage donor database  
  • Manage repair and maintenance of office equipment, including computers, phones and printers
  • Perform general administrative support 
  • Coordinate executive director and center calendar
  • Assist Executive Director with volunteer coordination
  1. Programming and Events  
  • Coordinate involvement at community events
  • Assist with coordination of event logistics
  • Assist with scheduling and coordination of programs at and outside of OOTL 
  1. Communications  
  • Manage Open Hours and assist in communication and referrals with community members
  • Assist with print and electronic newsletters  
  • Coordinate website updates and social media platforms 
  • Assist with donor communications, including appeal and thank you letters  
  • Coordinate bulk mailings  
  • Maintain organizational archives
  • Process internal mail and emails 
  1. Take on additional tasks as directed by the Executive Director



  • Two years of related experience desired; nonprofit experience a plus.
  • Possesses Interpersonal skills with the ability to assist in resource referrals for OOTL community members.
  • Proficiency with spreadsheets, databases, and word processing. 
  • Familiarity with Quickbooks is a plus. 
  • Ability to multitask
  • Strong attention to detail and ability to work as a team member with minimal supervision.  
  • Solid written and oral communication skills and excellent phone manner.  
  • Ability to develop effective work plans, organize details, set priorities, and meet deadlines.  
  • Familiarity with LGBTQ+ community and current issues a plus.
  • Ability to operate and troubleshoot standard office equipment.  
  • Interest in and commitment to the OOTL mission is necessary.
